How to Submit a Document to Document Workflows

The OptimiDoc Cloud Mobile App empowers you to capture and submit documents directly into your organization's business processes without needing a workstation or a multifunction printer. Scans are securely processed and automatically sent to configured destinations.

Step 1: Select a Document Workflow

  • Open the OptimiDoc Cloud Mobile App.

  • Navigate to the Scan or Capture section.

  • Select the required document workflow from the list of available options.
    Note: You will only see the specific workflows that your company administrator has configured and enabled to "Show on mobile".

Step 2: Enter Workflow Details (Metadata)

  • In the Document Workflow Details screen, you will be prompted to enter metadata. Metadata is custom information that helps name, classify, or route your document (such as a contract number, date of signature, or customer name).

  • Depending on the workflow, you may be asked to type in text or numbers, select a date, toggle a true/false option, or choose an item from a predefined list.

  • Mandatory fields are marked with an asterisk (*). The document cannot be submitted until all required fields are fully completed.

Step 3: Capture or Upload the Document

  • Use your mobile device's camera to capture a clear image of the physical document.

  • Alternatively, if supported by your device, you can upload an existing document or image directly from your mobile storage.

Step 4: Submit and Process the Document

  • Review the entered metadata and document images, then submit the document to the workflow.
    Once submitted, the document is securely transferred to the OptimiDoc Cloud datacenter.

  • In the cloud, it is processed automatically according to your organization's configuration. For example, the system's OCR (Optical Character Recognition) technology may enhance the image, remove blank pages, and convert the file into a searchable PDF, Microsoft Word, or Excel file.

  • Finally, the fully processed document is automatically delivered to its final destination, such as an Email address, SharePoint, Google Drive, OneDrive, or Dropbox.
