OptimiDoc allows users to submit documents for processing while entering all necessary metadata at the point of capture. This means users can provide more than just the document itself—they can specify the final destination and describe the document’s purpose, type, or contract name.

OptimiDoc Cloud supports multiple input channels to accommodate any work scenario:

  • Multifunction printers (MFPs) integrated with OptimiDoc Cloud allow users to authenticate and initiate personalised scan workflows directly from the device panel, capturing documents via a high‑performance scanner.

  • Mobile applications for iOS and Android enable document capture through the phone’s camera, including metadata entry and seamless submission into configured workflows.

2. Processing: Image Enhancement, Extraction & Verification

Processing begins with robust image enhancement, including deskewing, orientation detection, noise and border cleanup, punch‑hole removal, and blank‑page elimination to ensure optimal clarity. Document separation—triggered by barcodes, blank pages, or predefined page counts—organises multi‑page batches automatically.

The platform then applies intelligent data extraction using both zonal OCR, which precisely extracts text or barcodes from defined regions, and AI‑powered extraction, which interprets unstructured content in invoices, contracts, receipts, and other documents. A powerful suite of PDF functions further optimises output, including OCR for searchable text, MRC compression, PDF/A conversion, redaction, watermarking, encryption, and format normalisation.

For enhanced accuracy, an optional verification step enables extracted values to be reviewed based on confidence thresholds. Verification can be performed by the document owner, authorised departments, or specific user groups. This ensures all processed data is correct before moving onward in the workflow.

Authorisation uses a simple, one‑time token‑based mechanism, making access both secure and effortless for users. Delivery can also include metadata export in JSON or XML formats so downstream systems receive structured data alongside the document.

Metadata can also dynamically shape the final output—such as generating folder structures, building file names, or populating business fields in connected systems. This metadata‑driven automation ensures every document is delivered organised, consistently named, and enriched with the information required for subsequent workflows.
